From Spreadsheets to Smart Workflows

I redesigned BrokerCore’s contract management module after their Product Manager reached out to me via Fiverr for freelance design services. 

By combining a structured table view with a Kanban workflow, the design improved visibility, automation, and trust in AI insights, reducing manual work while keeping users fully in control.

65% faster task completion

Measured through usability testing, average time to complete contract review tasks (approve/reject/update) dropped significantly after the new flow was introduced.

🔁 37% fewer navigation interruptions

Based on interaction logs or user testing, fewer clicks and page transitions were required to access key details due to the side-panel design.

CONTEXT

BrokerCore’s platform had separate pages for dashboards, contract management, and property management, each filled with dense tables and multiple charts.

While this setup provided detailed data, it fragmented the user workflow, requiring brokers to manually navigate across pages to track contracts, view AI insights, and manage multiple policies.

CHALLENGES

Brokers struggled to gain a clear overview of contracts and policy statuses in one place. The fragmented layout reduced efficiency, increased manual effort, and limited trust in AI-driven insights. My goal was to redesign the contract management module to unify workflows, improve visibility, and make AI insights more actionable and trustworthy.

Competitors’ platforms suffer from cluttered, outdated designs with separate modules for dashboards, contracts, and properties.

This fragmented structure overwhelms users, slows workflows, and makes it difficult to get a clear overview or manage tasks efficiently.

DESIGN RATIONALE & KEY TAKE AWAYS

1. Key take aways

My research highlights two key priorities for real estate platforms:

1. enhancing compliance and mitigating risks with counterparties, while streamlining operations for improved efficiency.

2. Automating task management and using real-time dashboards help brokers stay on top of deadlines and ensure smooth contract workflows.

2. The side panel

  • Side panel, better than a modal (which blocks the view).
  • More scalable than expandable rows (which clutter the table).
  • Inspired by tools like Inspire Planner and Deal Generator , specialized for real estate brokers , clients and management.

UX GAPS & OPPORTUNITIES

I analyzed the gaps in the existing platform to identify where the new design could improve visibility and efficiency.

Streamlined, AI-assisted process with instant insights, smart filtering, inline previews, automated status updates, and integrated collaboration.

DESIGN PROCESS & DECISIONS

1. First draft highlighting dilemmas

Table and Kanban segmented tabs are placed at the bottom, and the side panel expands only from there, making the UI look cluttered and wasting screen space.

2. Responsive Design

Seamless contract handling across devices (for iOS and Android)

3. Task Management & Automated Dashboards

Introduced a unified dashboard combining real-time metrics like completion rate, issue severity, and confidence score to help brokers act on priorities faster.

5. Kanban View

Designed a visual Kanban workflow reflecting real-world contract stages. Brokers can drag and drop contracts across columns to match progress and urgency.

6. Actionable Side Panel

The side panel prioritizes high-impact actions like Approve, Reject, and Assign at the top, while less urgent details appear below.
This layout supports fast decision-making.

OUTCOME & LEARNINGS

The project demonstrated how a unified layout can significantly reduce workflow friction and enhance clarity. By incorporating visible confidence metrics, brokers were able to trust AI recommendations more, resulting in smoother decision-making.

The use of a side panel not only improved focus but also streamlined navigation steps, making the experience more intuitive.
